Executive Administrative Assistant to the CEO

We are looking for a highly organized, proactive, and resourceful Executive Administrative Assistant to support the CEO. This role is central to efficiency, execution, and enabling the CEO to focus on high-impact strategic priorities as the company expands.

This is a fast-paced, dynamic role that requires exceptional attention to detail, discretion, and the ability to anticipate needs before they arise. The ideal candidate is someone who thrives in startup environments, enjoys problem-solving, and can seamlessly manage competing priorities.

Executive Support

  • Provide high-level administrative assistance to the CEO, including calendar management, scheduling, inbox management, and task prioritization.

  • Coordinate internal and external meetings, client/vendor meetings, legal reviews, and media/speaker engagements.

  • Prepare briefing materials, agendas, follow-up notes, and action items to increase executional efficiency.

Operational Management

  • Assist with project management support for strategic initiatives, ensuring tasks move forward efficiently.

  • Maintain organized systems for documents, approvals, and workflows

  • Help coordinate travel logistics, itineraries, conferences, and offsite scheduling for the CEO.

  • Manage preparation and distribution of presentations, pitch decks and company announcements.

Communication & Documentation

  • Draft, edit, and polish communications from the CEO, including emails, internal memos, and external correspondence.

  • Maintain confidentiality and handle sensitive information with absolute discretion.

Administrative Excellence

  • Process expenses, vendor forms, and administrative approvals on the CEO's behalf.

  • Track CEO-related KPIs, tasks, and ongoing project lists.

  • Anticipate needs and proactively solve problems before they reach the CEO.

This position is a part-time contract working remotely in the United States.
